Terms & Conditions
1. Parties
This coaching agreement is made between:
The Coach: Stephanie Marie Milne, trading as Sacred Steps Ministry, as a sole trader based in the UK. All contact with this party can be made via email; steph@sacredstepsministry.com
and
The Client: The individual purchasing coaching services

2. Nature of Coaching
Coaching is a professional, collaborative process designed to support the client in personal growth, goal setting, accountability and reflection.
The Coach offers coaching from a Christian worldview, which may include discussion of faith, values, prayer (only if mutually agreed), and biblical principles.
The client understands and agrees that:

Coaching is not counselling, psychotherapy, pastoral counselling, or mental health treatment

Coaching is not a substitute for professional advice, including medical, psychological, legal, financial or pastoral advice.

​The coach does not diagnose. treat, or cure mental health conditions

3. Client Responsibility
The client acknowledges that:

They are responsible for their own decisions, actions and results
-
Coaching involves personal reflection and change, which may be challenging

The Coach does not guarantee specific outcomes
-
The client agrees to be honest, respectful, and engaged through-out the coaching process.

The Client agrees to maintain confidentiality when holding Coaching Sessions in their home or other public spaces. The Client and Coach shall strive for a safe space for both parties to be open and honest without fear of others listening in.

4. Safeguarding & Referrals
If, at any time, the Coach believes the Client requires support beyond the scope of coaching (for example counselling, therapy, medical or pastoral care), the Coach may recommend that the Client seek support from a suitably qualified professional.
The Coach reserves the right to pause or end coaching if it is no longer appropriate or safe to continue.
5. Sessions & Format

Coaching sessions (including individual and Group Sessions) are delivered via online/phone/in-person. We use Google Meet for online sessions which do not require you to download any specific software; however you will be responsible for an adequate internet connection.
1:1/Individual Coaching sessions:
Session length: 60 minutes
Frequency: Weekly/Fortnightly

Group Coaching sessions:
Session Length: 60 minutes
Frequency: 3 per month
​
For Client's that have signed up to the Sacred Steps Network they will be provided with regular email communications, tools and pre recorded sessions via email. These pre recorded sessions are expected to be approximately 45 minutes.

Any changes to session format will be agreed in advance.
6. Fees & Payment​

Fees are clearly stated at the time of booking

All bookings, including block bookings may be cancelled or rescheduled in accordance with the cancellation policy outlined below.

Payment is due in advance unless otherwise agreed

All prices are in GBP

7. Cancellations & Missed Sessions​

Clients may cancel or reschedule 1:1/individual coaching sessions and receive a full refund provided at least 48 hours’ notice is given. Sessions cancelled or rescheduled with less than 48 hours’ notice will be charged in full.

Clients signed up to the Group Coaching sessions will pay on a rolling monthly basis depending on their chosen start date. Payments cover a one month period which once paid cannot be refunded. Clients are expected to email steph@sacredstepsministry.com should they want to cancel this subscription. A confirmation email that your subscription has been cancelled will be sent once done, please get back in touch if you do not receive this within 48 hours of sending the request.

Clients signed up to the Sacred Steps Network will pay on a rolling monthly basis depending on their chosen start date, determined by the Client. These monthly subscriptions are non-refundable once paid and Clients are expected to email steph@sacredstepsministry.com should they want to cancel this subscription. A confirmation email that your subscription has been cancelled will be sent once done, please get back in touch if you do not receive this within 48 hours of sending the request.

Sacred Steps Ministry takes no responsibility for Clients who forget to request cancellation, no refunds will be issued.

Missed sessions are non-refundable

If you arrive late to your session, the session will still end at the scheduled time. Any time missed due to late arrival is non-refundable.

For online sessions; if the internet connection is failing, by either party, and communication becomes difficult the session will continue via a phone call. If the client does not want to continue via phone call they may still be charged for the whole session.

If the Coach is late for any reason and an extension of the session cannot be mutually agreed, the session will be rescheduled for a future date and time agreed by both parties.
8. Confidentiality

The Coach will treat all Client information as confidential, except where:

The Client gives explicit consent

Disclosure is required by law

There is a serious risk of harm to the Client or others

Clients signing up to the Group Coaching sessions will be sharing information with others on the session, which may include communications outside of the Group Coaching sessions, at the discretion of the Client (for example, messaging services)

Clients must maintain full confidentiality for information shared by the Coach or other Clients. This includes verbal discussions, sharing of any data electronically (e.g. social media or messaging services) or through any other means. Any acts of confidentiality broken will be expected to be removed or retracted, where possible

9. Data Protection
The Coach processes personal data in line with UK/EU GDPR and Data Protection Act 2018. Further details are set out in the Privacy Notice, available at: www.sacredstepsministry.com

10. Cyber Security

Coaching sessions are primarily delivered online via Google Meet or other secure online platforms. While all reasonable steps are taken to ensure sessions are conducted in a secure and confidential manner, the Coach cannot guarantee absolute security of information transmitted online.

Clients are responsible for ensuring they have;

Appropriate technology, a secure internet connection, and a private environment for sessions.

Clients are also responsible for safeguarding any meeting links, passwords, or access details provided and agree not to share these with third parties.

The Coach will not be held liable for any loss, damage, or breach of confidentiality resulting from cyber security incidents beyond the Coach’s reasonable control, including but not limited to hacking, unauthorised access, technical failures, or interruptions to online services.

By engaging in online coaching services, the Client acknowledges and accepts the inherent risks associated with digital communication.
11. Limitation of Liability
To the fullest extent permitted by law:

The Coach is not liable for any loss, damage or distress arising from decisions made by the Client

The Coach's total liability is limited to the amount paid by the Client for the coaching services.

Nothing in this Agreement excludes liability for death or personal injury caused by negligence, or for fraud.
12. Data Retention

The coach will take appropriate steps to keep your information secure, including:

Using password-protected devices and secure reputable cloud storage services
-
Limited access to your information (only by me) and any paper records are stored securely.​​​

Information is kept only for as long as necessary:

Coaching records and notes: typically 3-5 years after coaching ends
-
Contact details: while you are an active client and for a short period afterwards
-
Financial Records: as required by law (usually 6 years in the UK)

After this period, information is securely deleted or destroyed.

Your information is treated as confidential. I do not sell or share your personal data with third parties, except:

Where required by law

With your explicit consent (for example, sharing testimonials or experiences) or as part of the Group Coaching Sessions.
Any feedback shared publicly will only be used in line with the permissions you have given.
13.Termination
Either party may terminate 1:1/Individual coaching at any time with written notice. Any unused prepaid sessions will be handled in line with the cancellation policy.

The Coach may terminate membership to Group Coaching Clients and Network members if they do not abide by Group or Network Rules which are provided upon sign up. The Coach is also able to terminate for any other reason, at their discretion.

The Coach has the right to terminate, or pause, the services provided, either in full or by individual service channel (1-1 coaching/group coaching/the Network), at their discretion. The Coach will provide a formal communication in the event of this arising.
14. Intellectual Property
All materials provided by the Coach remain the intellectual property of the Coach and may not be shared, reproduced or distributed without written permission.
15. Governing Law
This Agreement is governed by and construed in accordance with the laws of England and Wales.
16. Acceptance

By booking or participating in any of the sacred Steps Coaching Sessions, plus the Network, the Client confirms that they have read, understood and agreed to these terms and conditions.
